South Bay Prep Phase I Action Teams

Volunteer Team

  • Volunteer Team Leader (Highest Need!)
  • Get information from each potential volunteer about his/her professional background, skills, interests, etc.
  • Use Groupery to track volunteer experience, interests, and what they are working on
  • Keep track of which volunteers are working on what tasks
  • Follow up with volunteers re. progress on tasks.
  • Coordinate between volunteers and board.

Development Team

  • Identify local foundations that offer grants that might fit SBP’s mission using FCSearch
  • Research identified local foundations to find out what is required to apply for a grant.
  • Prepare grant applications
  • Investigate if a separate nonprofit corporation (a foundation) needs to be set up to serve as our fundraising arm
  • If a foundation needs to be set up, various tasks: draw up bylaws, incorporation process, 501c3 application, need board members for foundation.
  • Start creating plan for fundraising events
  • Coordiante with Marketing Team on branding and outreach to donors

Postsecondary Partnerships Team

  • Create a list of local colleges, universities, and community colleges.
  • Explore one of the listed institutions to identify contact people/departments for recruiting teachers, partnering for educating SBP students (e.g., project mentors, concurrent enrollment in college courses while at SBP), and establishing a relationship with the admissions office.
  • Contact one person/department to begin establishing connection/partnership.

Business Partnerships Team

  • Research what are high priority jobs/industries in this area that will need workers in the future (e.g., through Workforce Investment Board).
  • Make a list of local companies in high priority areas that might be interested in partnering with SBP (e.g., internet research, contact Chambers of Commerce).
  • Research one local company to identify appropriate contact person/people at the company.
  • Each contact one company to begin establishing a partnership for educational (e.g., project mentors, internships) and financial support.

Community Service Agency Partnerships Team

  • Make a list of local community service agencies that might be interested in partnering with SBP (e.g., internet research, contact umbrella organizations such as United Way).
  • Each research one local agency to identify appropriate contact person/people at the company.
  • Each contact one agency to begin establishing a partnership for educational support (i.e., opportunities for our students to do community service projects).

Marketing Team

  • Keep web site up to date
  • Create newsletters and announcements
  • Branding of SBP
  • Create publicity materials for SBP

Student Recruiting Team

  • Set up recruiting events at venues where South Bay Prep could recruit to reach diverse/target student population
  • Keep contact list up to date (e.g., add people who sign in at meetings or other recruiting events).
  • Recruiting Meeting Coordinator
  • Enrollment Coordinator
  • Lottery Coodinator
  • Coordinate with other area charter schools to recruit cooperatively – e.g., set up a charter school enrollment fair (like a college fair).

Staff Recruiting Team

  • Keep web job postings up to date/refreshed
  • Create Hiring Committee
  • Set-up and coordinate Interview sessions
  • Work with Search Consultant

Facilities Team

  • Work with Architect.
  • Work with Planning volunteer
  • Tour potential facilities with realtor
  • Manage TI projects

Finance Team

  • Partner with local banks
  • File SBP’s tax return (nonprofit, tax-exempt)
  • Work with EdTec on budget
  • Coordinate with Development and Recruiting Teams to ensure up-to-date budget
